Smooth Events (“we”, “us”) helps hosts design event websites, coordinate guests, and collect the photos, videos, and wishes shared at their events. This policy explains what information we collect, why we collect it, and the choices you have. It applies to hosts who create an account and to guests who visit an event website or live guest portal.
1. Information We Collect
- Account information. Your name and email address, and the credentials you use to sign in.
- Event metadata. Event names and dates, locations, schedules, and the content and design of your event website.
- Guest lists and RSVP inputs. Guest names and contact details that a host adds or imports, and the responses guests submit through an RSVP form.
- User-generated media. Photos and video uploaded to an event, and written or audio guestbook entries and wishes.
- Usage data. If you accept analytics cookies, aggregated information about how the marketing site is used (see section 5).
2. How We Use Your Data
We use the information above to:
- provide the core event management services, including the visual builder, guest list, RSVPs, and schedule;
- render live guest portals so guests can view an event and contribute media without installing an app;
- generate the Time Capsule ZIP archive of an event's media and guestbook;
- process purchases through Stripe, our payment processor; and
- send transactional email, such as account and event notifications, and respond to support requests.
We do not sell guest or host personal data to advertisers. Card details are handled by Stripe and are not stored on our servers.
3. Media Ownership & Privacy
Event media belongs to the event host and their guests. We do not claim ownership of it, and we only use it to operate the features you ask us to provide. Event galleries are secured by unique event links and by the permissions the host sets, so only people with access under those settings can view or contribute to them. Hosts should share event links only with the people they intend to include.
4. Data Retention
Event media is retained in the active cloud vault for 365 days after the event date, after which it is scheduled for deletion. We encourage hosts to download their complete local archive (the Time Capsule export) before that window ends. Hosts can export their event at any time during the retention period, can permanently delete content they no longer want to keep before then, and can delete their account to have their event data removed sooner.
5. Cookies & Tracking
Essential cookies. We use session cookies that are necessary to keep hosts signed in and to keep the platform secure. The platform cannot function without them.
Optional analytics. On our marketing site, analytics tags load through Google Tag Manager and operate under Google Consent Mode v2. By default, analytics and advertising-related storage is denied. If you choose “Accept All” in the cookie banner, those signals are granted so we can measure site traffic; if you choose “Decline”, they stay denied. Your choice is remembered in your browser, and you can change it at any time with “Cookie Preferences” in the site footer.
